Case Management Portal
Secure portal for a government programme — practitioner session notes, mentorship progress tracking, and programme compliance reporting in one system. Replaced paper-based documentation entirely.
01 / Challenge
The Challenge
The programme operated entirely on paper — session notes handwritten, progress tracked in spreadsheets, and compliance reports compiled manually from multiple sources before each audit.
Staff spent significant hours each week on documentation instead of direct service delivery.
There was no way to track outcomes across cohorts, no visibility into programme-wide trends, and no audit trail that could satisfy regulatory requirements quickly. When oversight bodies requested reports, the manual compilation process was time-consuming, error-prone, and difficult to defend.
02 / Solution
Our Solution
We designed and built a secure web portal for the programme's practitioners and administrators.
Practitioners log into individual accounts and document session notes in structured fields — ensuring the right information is always captured consistently. Progress is tracked against defined programme milestones, with visual dashboards showing individual and cohort-level outcomes.
Compliance reports are generated automatically from the underlying data, eliminating manual compilation.
All data is stored on government-controlled infrastructure with role-based access control — practitioners see only their assigned cases, administrators have programme-wide visibility, and oversight staff can pull compliance reports on demand without waiting for staff to compile them manually.
03 / Results
The Results
Paper-based documentation was eliminated entirely across the programme.
Practitioners spend significantly less time on admin and more time in direct service delivery.
Compliance reports that previously took days to compile manually are now generated in minutes from accurate, structured data. Leadership has real-time visibility into programme outcomes for the first time — enabling data-driven decisions about resource allocation and programme design.
The audit trail provides defensible documentation for every interaction, resolving the compliance risk that paper records created. As government software built for a Caribbean social services programme, this system demonstrates what's possible when institutions own their infrastructure rather than renting it from foreign vendors.
